What You'll Do

Managing an extremely active calendar of appointments; manage and oversee. multiple inboxes; completing expense reports; answer and manage all incoming calls and transcribe voicemails; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.

Plans, coordinates and ensures the Executives schedules are followed.

Communicates directly, and on behalf of the Executive Team, with leadership, investors, staff, and others, on matters related to any and all initiatives.

Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Executives, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.

Provides a bridge for smooth communication between the Executives office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff and agents.

Works closely and effectively with the Team to keep on top of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense of the issues taking place in the environment and keeping the executives updated.

Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the team, some of which may have organizational impact.

Successfully completes critical aspects of deliverables with a hands-on approach, including drafting personal correspondence, and other tasks that facilitate the business.

Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

Edits and completes first drafts for written communications.

Handle personal tasks such as appointments, travel, banking and investments for the Executive team.
Who You are
-
3+ years as an Executive Assistant to a high-level executive.

Professional demeanor.

Exceptional attention to detail and accuracy.

Must be resourceful, efficient, organized and proficient.

Positive attitude, exceptional interpersonal skills and excellent written/verbal communication.

Must be comfortable working in a fast-paced/ fail-fast startup environment.

Ability to multitask and efficiently determine daily priorities

Understanding of discretion and confidentiality.

Have knowledge of how to solve IT/ Tech product issues efficiently
-
Must be able to travel on short notice.

Must be available on certain weekends/holidays, if needed
-
Experience with CRM database software is a plus.

Experience using Microsoft Office/ Creative Suite.
